Admissions Application 3.0 Payments

The payment process (application fee and deposits) for the apply site has changed. The new process relies on the applicant waiting to be redirected back to their application after completing the payment. For the application fee, this is what sets their application to Submitted status and assigns the Application Round.

Affirmative Action field changes

The June 2023 U.S. Supreme Court ruling limits how colleges and universities consider race during the admissions process. For the applications in Salesforce, the following data is collected during the application process, but blinded to the admissions team until an admissions decision has been made and the decision viewed by the applicant:

Current Application Criteria

The first page applicants land on after login is the Status page, which lists their current and previous applications. Applicants can have at most one current application per program group, and are prevented from creating new applications in any program in a group which they have a current application. Only current applications can be interacted with for viewing, decisions, deposits, etc.

Delete Application

How an applicant deletes an in-progress application: the confirmation modal, setting Internal Status to Marked for Delete, the follow-up Task and the Delete Job batch. Also lists the Apex classes, components, modal components, controllers and batch behind it.

How to edit a decision letter template

Nintex Drawloop is used to mail merge templates. Letter templates are created in Microsoft Word by using a Field tagger that inserts specially formatted field names from the Admissions Application objects into the template.

Loop Testing

A PDF of the application is needed for either Admissions needs or the electronic student record (ImageNow). Protected/secured PDFs will not get looped and the process will error out. The challenge is that there is no feedback from Loop on which PDF(s) are problematic.

Manage Application Files

You can rename Files in Salesforce for accepted or not entering application records for the electronic student record process.

Manage GMAT and GRE Test Scores

Test Scores are handled in a custom object called Test Score. There is now automation that will update read-only fields on the Admissions Application with the highest score of each type from the associated Test Score records. This is the case for Test Score records created by Salesforce users and applicants.
