Decision letter template update

Admissions Decision CTFMBA Offer

From the DocGen Package record Admissions Decision CTFMBA Offer (see link above), click on the Documents tab.

Click on the link under File in the lower right of the Templates section.  This will open a new tab for the Admissions Decision CTFMBA Offer document.

  • To view the existing document, select the View file link.  

This will download the existing template.  Click on the downloaded file to open the .docx document in Word.  To update this template, click Enable Editing.  Then, click File, then Save As to save your changes as a new file.  Make your edits and save the document.  Make sure the document is saved as a .docx file.

  • To upload a new version of the document, select Replace Document.

On the following screen, upload your updated template by clicking Choose File, click Replace Document, then select Done.

Offer of Admission

Review Applicant Data

Review the list of Tsinghua applicants and ensure all data entered is correct.  Either a report or list view can be used for this.

Tsinghua reports are available in the Admissions Reports - Tsinghua folder.

Update Internal Status

Update the Internal Status field to 'Offer'.  This will upload these candidates to Peoplesoft.  All edits to demographic information must be done before this step, as edits made after the internal status is changed to Offer will not update Peoplesoft.

Set Deposit Due Date

Use the Deposit Amount 1 field on the application to set the date the deposit is due for applicants who will be offered admission.  You can update multiple records using a list view or report.

Publish Offer Letter

Update the Publish Now Status field on the Application record to 'Publish NOW'.  You can do this using a list view.  See Mass Update Records to review how to mass update records in a list view.  This will start the process to create the Offer letter and automatically send an email to the applicants that the letter is available for review in their application portal.  Review How to publish and send notification of a decision letter to see how this process works.  Review steps 10-15 below for additional details on this process.

Applicants will then see two buttons in their application portal: Accept Offer and Decline Offer. 

Accepted Offer

If the applicant selects Accept Offer, they will be directed to pay their first deposit in Flywire.  Once the payment is made, staff are notified of this payment.  Review steps 15-21 below for additional details on this process.  You need to update the Application:

  • Update the Deposit Trans Date 1 and  Deposit Trans Number 1 fields 
  • Update Internal Status to Accepted

Declined Offer

If an applicant declines the offer, the internal status is automatically changed to 'Not Entering'.

Not Offered

Change the internal status of any applicants not receiving an offer letter to 'Canceled'.

Schedule Publish

You can schedule the publishing of decision letters to applicants: Schedule Publish

Step-by-step guide

  1. Applicants for the Cornell-Tsinghua program apply using the Tsinghua University application. Those applicants that meet the initial program criteria are given a special URL (https://apply.business.cornell.edu/s/tsinghua-landing) that creates a Cornell-Tsinghua application for them in our Salesforce Apply community once they register.  
  2. Applicants fill out of application in the Apply community and submits the application.  During this process they pay a $200 application fee through the Apply community payment processor.
  3. Staff reviews all applications using a list view in Salesforce. Example: https://johnson.lightning.force.com/lightning/o/Adm_Application__c/list?filterName=00B2G000009ORauUAG
  4. Staff sends all confirmed application fees paid list to Tsinghua program partners.  A Salesforce report in Admissions Reports - Tsinghua folder is used for this.
  5. All application fees paid are invited to interview by Tsinghua program partners who will schedule the interviews.
  6. Applicants who fit the standards, pass the interview are given "provisional acceptance" from Tsinghua while the program waits for their national MBA scores to be published.  Tsinghua handles accept/rejects at this time.  Once scores are published a final list of "accepted" students are sent to Cornell.
  7. Staff may update data /cleanup in Salesforce such as making sure first name and last name are in the correct fields.  This must be done before the internal status goes to “Offer”
    1. Unlike other programs, since the "under review" internal status is not utilized, the Peoplesoft upload will not start until "Offer" because this is the first internal status change after Submitted.  All data must be in the correct format, etc at this time.  The initial Peoplesoft upload is the one and only time that we send data fields.  All subsequent uploads only update a change in internal status.
  8. Staff updates Deposit Due Date in Salesforce in preparation for decision letter publishing.  This can be done in a mass update in a list view.  Use the Deposit Due Date 1 field to set the initial Deposit due date.
  9. Staff updates Internal Status to "Offer" in the same mass update in a list view.
  10. Staff updates Publish Now Status to “Publish NOW”.  See Instructions on how to Publish decisions.  This starts a workflow that will do the following:
    1. Letter gets generated
    2. Email goes out to Applicant
    3. External Status changes to Complete
  11. Email sends to Applicant to notify that decision is available
    1. The Decision Email Sent date is populated
    2. The Decision Email Sent checkbox is checked
  12. Applicant may click the link contained in the email, log in and clicks “View Decision”
    1. The Decision Viewed Date gets populated
  13. Applicant see offer decision page, decision letter in PDF form. The page also contains two buttons: Accept Offer or Decline Offer.  When they click accept offer the Internal Status updates to “Deposit Required”
  14. Applicant is also given a post-decision page that asks them one or two questions.
  15. If applicant has clicked on the accept offer they will then directed to “Pay 1st Deposit”
  16. Pay Deposit Page sends them to Flywire URL page
    1. Deposit amount is set in Flywire, the value in Salesforce does not influence Flywire amount.
    2. The Program's Deposit values set the corresponding Application Deposit amounts on app submit.
  17. Applicant makes Flywire payment
  18. Staff receives notification of Flywire payment
  19. Staff updates Deposit Info in the Deposit Trans Date 1 and  Deposit Trans Number 1 fields
  20. Staff updates Internal Status to “Accepted”
  21. Peoplesoft upload will update status to matriculated - this will move the data from the "applicant" side to the "student" side of Peoplesoft.
  22. Staff will update any applicants that were not provided offers internal status to "Canceled".  No applicants should be left at submitted at the end of the cycle.

Mass Update Records

To mass update records from a list view, select the records you want to update.  Then, select the pencil icon of the field you want to update, and change the field value.  Check the 'Update # selected items' checkbox.  The fields that will be updated will be highlighted in blue.  Click Apply.  The fields that will save are highlighted in yellow.  Click Save at the bottom of the screen to save your changes.

NOTE: Not all fields are available to edit from a list view.  You may need to navigate to the field on the individual record page to edit the field.
