Admissions Schedule Decision Publish

There is now the ability to schedule decision letter publishing for groups of applications.  

Currently, this process is available to the following programs:

  • Cornell-Tsinghua MBA/FMBA
  • Cornell-Peking MMH/MBA

Important Notes

  • The Schedule Publish button appears on the Program and Application Round records. 
  • The 'Allow Schedule Publish' checkbox on the Program record must be checked in order for the Schedule Publish buttons to be available.  
  • The applications must already be in a decision status, and the Targeted Decision Letter field must be populated.
  • It is best practice to schedule different letters for different date/times to ensure there is no delay in the entire scheduled applications receiving the decision email.

What happens immediately after running the Schedule Publish?

  • The decision letter PDF is created (it can take around 10 minutes to generate all of the PDFs).
  • The selected applications are updated: The Future Publish Date/Time is set to the time entered on the screen, Publish Now is set to 'Render Decision Letter Only', and Publish Now Status is set to '2-Ready to Send Decision Email'.

What happens at the scheduled Future Publish Date/Time?

  • The decision email is sent to the applicant.
  • External Status is updated to Complete, which allows the View Decision button to be available to the applicant.
  • The applications are updated: Publish Now is blank, Publish Now Status is set to '3-Published', Decision Email Sent is checked, and Decision Email Sent Date is set.

What are the current limitations?

  • Whoever is scheduling the publish must also have a Nintex DocGen license to generate the decision letter PDFs.
  • There is a limit of scheduling 200 applications at a time.
  • The Future Publish Date/Time must be at least 10 minutes in the future from when you are scheduling the publish (to allow the decision letter PDFs to be created).
  • You can only select one Application Round and one Targeted Decision Letter to schedule at a time.  Applications must be in the same Application Round and have the same Targeted Decision Letter to be scheduled together.
  • Depending on the number of applications scheduled and other automations running in Salesforce, it can take extra time for all of the emails to send to the applicants.
