Affirmative Action field changes

The June 2023 U.S. Supreme Court ruling limits how colleges and universities consider race during the admissions process.  For the applications in Salesforce, the following data is collected during the application process, but blinded to the admissions team until an admissions decision has been made and the decision viewed by the applicant:

• Ethnicity
• Hispanic
• Country of Birth
• Country of Passport Issuance
• Permanent Country

There are new formula fields that replace the above fields that the applicants complete in their application.  These fields are:

• Ethnicity
• Ethnic Detail (Consortium applications)
• Hispanic
• URM
• Country of Birth
• Country of Passport Issuance
• Permanent Country

Admissions staff only have access to these formula fields, and do not have access to the fields on the application.  These formula fields are based on the Internal Status field and date fields on the application.  The only statuses that will allow the admissions staff to see race/ethnicity values are final decision statuses, such as Offer and Denied, and decision date fields.  If the formula criteria are not met, such as when an Internal Status is In Progress or Waitlist, then the fields will be blank.  Below is the full list of criteria:

Logic for Admissions to see ethnicity/race data:

1. Application Internal Status is one of the following:
   1. 'Offer'
   2. 'Offer from Waitlist'
   3. 'Deposit Required'
   4. 'Accepted', or
   5. 'Deferred', or
   6. 'Not Entering'
   7. 'Canceled'
   8. 'Withdraw'
   9. 'Denied'
   10. 'Denied from Waitlist'

AND

2.  One of these date fields is populated:

1. 1. Decision Viewed Date
   2. Decision Email Sent Date
