How to Manage Access to an Exchange Group Account (EGA)

An Exchange Group Account (EGA) — also called a Resource Account — is a shared mailbox that multiple people can be granted access to. This article explains how to view, add, remove, and change who has access to an EGA using the Exchange Account Manager (EAM).

Steps

Step 1: In your browser, go to the Exchange Account Manager at https://eam.exchange.cornell.edu.

Step 2: Log in with your NetID and Cornell password.

Step 3: Click the Manage Resource Accounts tab.

Step 4: Click Search for & Manage Accounts.

Step 5: Click My Accounts.

Step 6: All accounts you can manage appear in a list under Search Results.

Step 7: Click Manage to the left of the account you want to change.

Step 8: Under Roles, you will see who currently has access to the EGA.

Step 9 – To add a person: Enter their NetID in the “Add new role NetID/Group…” box and press Enter. Wait about 30 seconds; the name should then appear in the list.

Step 10 – To remove a person: Click the Remove button next to the name of the person you want to remove.

Step 11 – To change permissions: For anyone already in the group, check the box for a permission you want to grant, or uncheck the box for a permission you want to remove. The available permissions are:

  • Owner – can add, delete, or modify all roles except Sponsor and Requester.
  • Administrator – can add or delete any Send As, Access, and Recipient roles, but cannot add or delete other Administrators or higher roles.
  • Send As – lets you send mail from the Resource account; the account’s email address appears in the From and Reply-to fields of outgoing messages.
  • Access – gives you full control over reading, filing, and deleting messages in the Resource account mailbox, and the ability to add, modify, and delete entries on the account’s calendar.
  • Recipient – receives, at their own email address, a copy of any mail sent to the Resource account, as if BCC’d on the original email.
