Overall Application Workflow

Summary

What Salesforce does automatically at each stage of an admissions application, from starting and paying through decisions and deposits, with links to the detailed articles.

Body

What happens automatically at each stage

The diagram shows the whole application process. This section lists what Salesforce does on its own at each stage, and links to the article with the detail. Program names are shortened: MBA is the Cornell MBA; NYC, Healthcare and Americas are the Executive MBA programs.

1. Starting an application

  • An applicant can have only one current application per program group. See Current Application Criteria.
  • Exchange and Tsinghua aren't listed on the apply site. Admissions sends those applicants a personal link. If they already have a current application in that program, the link takes them to it instead of creating a second one.
  • On create: the applicant gets an application created email (all programs except Consortium, Cornell Tech and Exchange), and a completed task is logged. If the application has no email address, Salesforce fills it in. See Admissions Email Management.
  • Texts: an applicant who opts in gets a welcome text. See Admissions Text Message Management.
  • Events: about two minutes after the application is created, admissions events the applicant attended that year are added to it, with any fee waiver they earned. See Linvio Events - Waive Application Fee.
  • Americas: if no preferred boardroom is chosen within 24 hours, the applicant gets a reminder email and, if opted in, a text.

2. While the application is in progress

  • Every night at 11 PM: the Progress field is updated, using the same logic as the applicant's progress tracker. Applications the applicant deleted are removed. See Delete Application.
  • Every night: the applicant's name, phone, company, title and address are copied from the application to their Lead, if they logged in since the day before.

3. Paying and submitting

  • Submitting requires the application fee to be paid or waived. Submitting sets the application to Submitted and records the submit date. For an application that was In Progress, it also sets the apply year, entry year and application round.
  • Payment: returning from the payment page is what submits the application. A job at 5 PM each day catches applicants who paid but didn't come back. See Admissions Application 3.0 Payments.
  • Emails:
  • a fee paid email (MBA)
  • a fee waiver email when staff waive the fee (MBA, NYC, Healthcare, Americas)
  • a submit confirmation (all programs except Cornell Tech), with a text for MBA, NYC, Healthcare and Americas applicants who opted in
  • Exchange: the application fee is waived automatically.
  • Application PDF: a PDF of the application and the applicant's files is created and attached, and a completed task records it. Tsinghua and Peking get their own program PDF.
  • Requested information: a financial aid information email goes to applicants who asked for it. An MBA test waiver request gets an approved or denied email once Admissions decides.

4. Review and interviews

  • Test scores: the highest score of each type is copied to the application, and lower scores of the same type are deleted. See Manage GMAT and GRE Test Scores.
  • Recommendations: see Admissions Recommendation Process.
  • Interviews: see SUMO Automatic Scheduling Actions. Two days after an MBA interview is marked completed, the applicant gets a post-interview email.
  • Official transcript: marking it received emails the applicant, and texts them if they opted in.
  • Second interview: answering Yes to Interview 2 sets the interview 2 commit date (not for Cornell Tech or Exchange).
  • Cornell Tech: filling in Scholarship (Per Year) sets the scholarship status to Awarded.

5. Decisions

  • Which letter: the decision letter is chosen automatically from the program and decision. See Setting the Targeted Decision Letter.
  • Publishing: rendering and publishing letters are covered in How to publish and send notification of a decision letter. To publish on a date, see Admissions Schedule Decision Publish.
  • Back from the waitlist: moving an application back to Send to Committee or Interviewing clears its decision and publish fields.
  • Decision viewed: when the applicant views their decision, the application PDF is created again.
  • NYC: an admitted applicant who indicated Military Yellow Ribbon gets the Yellow Ribbon email a few minutes after the decision email.

6. Deposits and after
