Current Application Criteria

The first page applicants land on after login is the Status page, which lists their current and previous applications.  Applicants can have at most one current application per program group, and are prevented from creating new applications in any program in a group which they have a current application.  Only current applications can be interacted with for viewing, decisions, deposits, etc.  This page will detail the criteria for an application being considered "Current".

Program Groups

Programs are collected into groups, and applicants are allowed to apply to only one program in each group at a time.  The group a program belongs to is determined by the Program Group field (Program_Group__c) on the Program record.

Criteria

To be considered current and be available for viewing, decisions, and deposits, an application must meet ANY of the following:

• Have a non-null Apply Year greater than or equal to the Current Apply Year of its program* (Only applications that have been submitted should have an Apply Year)
• Have an Internal Status of "In Progress"
• Have an Internal Status of "Deferred"

If multiple applications for a group meet the above criteria, then only the most recently created application for that group is considered current.

Changing the Current Apply Year on your program effectively changes the criteria for current applications. When the CAY moves forward, applications submitted last year will cease to be current (unless they are Deferred), and those applicants will no longer be able to view decisions, accept/reject offers, or pay deposits. Those applicants will then be able to create a new application for the group to re-apply in the current year.

Process

Current applications are determined for each group by filtering down a list of all applications that an applicant has, ordered by first by Applicant Last Modified from most recent to oldest, blanks last, and then by Last Modified Date from most recent to oldest.

1. For each group, the list is filtered down to applications for programs in that group.
2. The list is then filtered to only the applications that have Internal Status of "In Progress" or "Deferred", or have an Apply Year that is greater than or equal to their program's Current Apply Year.
3. If there are still multiple applications in the list, the first (and therefore most recently modified) is considered the current application, and the remaining applications are considered previous applications.
4. Previous applications are further filtered, requiring an External Status of "Complete", "Accepted", or "Closed".  Additionally, they must have an apply year which is less than their program's Current Apply Year.
