Admissions Application 3.0 Payments

Updated Payment Processor (December 2025)

The payment process (application fee and deposits) for the apply site has changed.  The new process relies on the applicant waiting to be redirected back to their application after completing the payment.  For the application fee, this is what sets their application to Submitted status and assigns the Application Round. If an applicant does not wait to be redirected to their application after completing a payment, the payment processor closes out their batch at 4pm.  We have a process that runs at 5pm to catch all applicants who have a reconciled payment but are not in Submitted status.  That job will then set them to Submitted status and assign an Application Round.  

There is a new related list on the Application's Related tab called Admissions Application Payments.  This is populated from the payment processor daily at 4pm, and gives the status of any payments attempted by the applicant, the status of the payment, and a reason if the payment was declined.


When viewing an Admissions Application payment record, you will now see a button labeled "Request Detailed Info from Processor." Clicking this button will retrieve and display detailed information about the transaction. Please note that this information is not stored in Salesforce - it is displayed for your reference only.


The Transaction Details include a Reason Description, which can be particularly helpful when addressing questions about declined transactions.



Deposit Amounts/Dates

Deposit Amount 1 & 2 – Pulled from Program record

Deposit Due Date 1 & 2 – Pulled from currently active Round record

If you have these fields filled in on the Program and Round records, when you move an application to Internal Status = Offer, the system will automatically fill in these values for you on the application. If you have already filled these fields in on the application before setting the status to Offer, our automation will respect the values you already entered and will not override them. You can also change the values after the automated population occurs.
