Creating Subscriber Lists for Campaign Monitor

Overview

When creating Subscriber Lists in Salesforce that will be utilized in Campaign Monitor, if a List View or Report doesn’t exist, the first step would be to create a List View or Report.  The List View or Report will contain the individuals that will be used to generate the Subscriber List.  After the List View or Report is created, a Subscriber List can be established.  Below are instructions to create a List View, Subscriber List, and instantly sync Subscriber Lists in Salesforce to Campaign Monitor.

Please note, if a List View already exists that captures all of the individuals you want to base a Subscriber List off of, you don’t have to create a new List View.  You can move forward to the Creating Subscribers section below, which will provide instructions for adding the List View members to a Subscriber List.

A. Creating a List View

1) From within Salesforce, click the waffle on the top left -> type leads in the search box, then select leads from the search results below.

2) Ensure you are within Leads by looking to the top left for the word Leads.  An orange person shaped icon will be next to the word Leads.  Click on the arrow next to the gear icon on the top right ---> select New.

3) Name the new List View, select who should see the List View -> select Save.

4) The name of the new List View will appear under Leads on the top left.

5) On the right hand side toward the top, click on the Filter by Owner box.  A dialog box will appear.  Select All leads -> click Done.

6) Choose Add Filter to any additional filtering.  For example, if you wanted your List View to display all Leads that work for the Company ILR Cornell.  Select Save when all filters and filter information have been added.

7) Select the gear icon and click Select Fields to Display.

8) The Select Fields to Display Dialog box appears.  Select the fields you would like to add then use the arrow to move the field from the Available Fields column to the Visible Fields column.  Select Save when finished.

B. Creating a Subscriber List

1) Select the Waffle on the top left -> type campaign in the search box -> select Campaign Monitor from the search results.

2) Verify you are in the Campaign Monitor App by looking to the right of the waffle.

3) Select New on the top right hand side to create a new Subscriber List.

4) Name your Subscriber List.

5) Click Create List (bottom middle of the page).

6) Choose Import Wizard, under Automation on the left hand side -> New Import.

 7) The Import Wizard – Select Import Type dialog box will appear.  Select the drop-down arrow next to Import Into Campaign Monitor and select Salesforce List View -> select Next.  **Note, you can also choose and use a Report rather than a List View.

8) Next, you’ll be asked to select the Salesforce Object and List View.  Leads will be the Salesforce Object and then find and choose your List View -> select Next.

9) The Import Wizard – Map Fields dialog box will appear.  Use the drop-down arrow on the right hand side to match the Salesforce Field with the Campaign Monitor field.  These are the fields you would like to have accessible in Campaign Monitor.  If the Campaign Monitor Field doesn’t exist, select New Campaign Monitor field and Campaign Monitor will create the field and make it accessible in Campaign Monitor.  Choose Next when you’ve finished the appropriate mappings.

10) The Import Wizard – Run dialog box will appear.  Enable the Scheduler & select the days and times you would like the Subscriber List to sync to Campaign Monitor.   Select Save & Import

*Recommended Settings* Monday - Sunday, every 4 hours.

*Note* This is a backup for the next step, where we setup instantaneous syncing of new Leads to your Subscriber List.

11) The Subscriber list will change to a  Status of Completed when the Subscriber List is populated.

12) Select Members to verify the Subscriber List has members.

C. Using Subscriber Rules for Instant Lead Syncing

1) If you’ve just created a Subscriber List, you can setup instant lead syncing from where you are in Salesforce.  If you haven’t just setup a Subscriber List, please follow steps B-1 and B-2 above, then click on the Subscriber List you want to setup with instant syncing from the Campaign Monitor App in Salesforce -> choose Subscriber Lists.

2) Select Show More, under Import Wizard, then choose Subscriber Rules.

3) Look for Rule Action, under My Subscriber List.  Select the drop-down arrow and choose Add Lead Subscriber Rule.  Ensure the Rule Name switched to Add Lead Subscriber Rule after selection.

4) Click Edit.

5) You’ll notice many of the fields that were grey are not white and editable.  Change the Rule Name to a sensible name.  Then, adjust the Evaluation Time to when you want syncing of your Subscriber List to occur.  Next, turn on the Subscriber Rule Status (from disabled to enabled).  Now, add any Rule Criteria (e.g. if you want to sync your Subscriber List that has a company of ILR Cornell and an Area of Interest in HR, you would add that criteria here).  Next, add Rule Logic, such as 1 AND 2 or 1 OR 2.  This will allow records to sync based on what Rule Criteria to follow.  Finally, click Save!
