Set up a new CAHRS Event

Initially events will be created as Outreach Activities, where coordination among teams will occur to produce the event.

Generally the Outreach Activity form works the same for CAHRS events as for other Outreach events with the following exceptions:

  • Department - always use "Center for Advanced Human Resources". Do not use HCD-CAHRS as that is for a different type of event.
  • Existing Course Number if Applicable MUST be filled in and is always in the format of "CAHRS2024" or whatever year is appropriate. Note there is no space in this course designation.
  • Activity Type - always use "Open Enrollment/Public".
  • At least one session must be created.  For CAHRS nearly all events have only one session.
  • Form Status - must be set to "Form Complete" before an event/class can be created. In order for form to be marked complete.

Once the activity coordination form has been marked as completed, an actual Event/Class record can be created.

Note that it may be helpful to find an existing CAHRS activity form that is similar to the new one you wish to create, and that has already been completed, clone it by clicking the "Clone" button, and then modify it to meet your needs.

Once completed, use the "Create EvtCls" button on the activity form to get started creating an Event:

A window will pop up to ask for additional information for creating the event.  Select an event year and Center for Excellence and click "Next":

Another window will pop up to gather further information to use in setting up the event.  Enter information as follows and click "Next".  Check the last two checkboxes only if you want to publish this event on the website.

The Class Number is coded as a date (YYMMDD), C for CAHRS, then up to 12 additional characters to identify the type of event, for instance, WGRP is working group.  Ending the number with an "i" designates it as in-person, vs "v" for virtual.

The event will be created, but the screen will stay on the Outreach Activity.  To view the new event, an easy way to get there is to scroll to the bottom of the Outreach Activity form, to the "Registrar Use Only" section, where a link to the newly created event will appear:

Please review the created event.  It is possible that additional fields will need to be modified in order for the event to properly be displayed on the web site.
