Manually Register a Contact for an Event

Generally Contacts will register through the website.  However, occasionally it is necessary to manually register someone if, for instance, the website is not working for them or if you're already in a conversation with the person on the phone.

Salesforce facilitates this through a button available on the Contact record.  Note that this part of Salesforce is quite old and a little quirky, and is not specifically tailored for use by CAHRS.  To manually register someone:

  1. Search for the "Class Number" of the event you wish to register the person for:
    1. In the "CAHRS Home" page, currently scheduled events will appear at top right.
    2. The Class numbers are in the first column.
    3. Simply select the number directly on that page and copy it by pressing Ctrl-C.
  2. Search for the person's email address using the Search bar at the top of every page.  If the person exists, skip to step 3.
  3. If the person does not already exist, add them using this process.
  4. Open the Contact's record.
  5. Click the "Register Contact" button at the top right of their record.
  6. Fill out the fields as follows:
    1. Enter any ADA Accommodations requested by the person (leave blank if none).
    2. Enter any dietary restrictions requested by the person (leave blank if none).
    3. Ignore "How did you hear about us".
    4. Ignore the Current Employment section.
    5. In the "Class Selection" section, paste the class number copied in #1 by pressing Ctrl-V
    6. Click the magnifying class in the search.  Do not panic when the event is not found.
    7. In the pop-up window, directly under the "Lookup" search box, click "All Fields" and click "Go".  The desired event should appear in "Events/Classes".
    8. Click the Event Name.
    9. Click the "Add" button.
    10. Ignore the Discount Code section.
    11. In the Payment section select "Check".  Note that this has NO effect and no charge is applied.  We just use this as the default for free events.
    12. It is possible that available credits may appear at the bottom of the screen if the person registered for Outreach classes and received a credit.  Ignore that.
    13. Click "Register".
    14. It will take a minute or so to carry out the registration process.  Once it does, you'll have the option of going to the Application record or Participant record.  Ignore the Application and click on the Participant record to view and edit the registration itself.
    15. Once you've created the registration, a screen will appear with the Application and Participant links.  Click the "Participant" link.
    16. In the Status field, change the value to "Enrolled".
    17. Click Save.
