Create an Outreach Activity Form from an Opportunity

In Salesforce, Opportunities represent an "opportunity" to do business with a company and/or person.  These are generally associated with custom programs, where we are engaging with another organization to create or provide a program through a formal contract.

Outreach Activity Forms capture information about events, workshops, talks, and other activities that ILR Outreach staff create, produce or engage in as part of their work.  Opportunities that are won become Activities.

To facilitate the creation of Outreach Activity Forms, a mechanism has been added to Salesforce to automatically create Activity Forms from Opportunities, using as much of the Opportunity data as possible.  Note that one Opportunity may have multiple Activity Forms associated with it.

To create an Activity Form from an Opportunity:

  1. Locate and open the Opportunity from which you wish to create a Form
  2. Click the "Create Activity Form" button at upper right
  3. A message will appear giving you an opportunity to exit the process if you've changed your mind.  To continue, click "Ready to Continue"
  4. Enter the following fields.  If you do not know what they are, you may leave them blank, but please fill them in when you know them at a later date.  Otherwise your activity may not appear in reports and the calendar as expected:
    1. Select a Delivery Method from the picklist
    2. Select a Location
    3. Enter a start date and time
  5. Click "Continue"
  6. Click "Finish"
  7. A link to your new Outreach Activity Form will appear on the right, in the Related list, under "Outreach Activities".  Click the blue link to go to the Activity Form
  8. If you added a start and end date when you created the Form as described above, add sessions so that the activity shows up on the calendar by clicking the Create Sessions button at the top.  Learn more about creating sessions by clicking here.
