Overview
With new registrations automatically coming in to Salesforce, an ILR Core – Registration App, specifically designed for reviewing new registrations, is available. This App contains guided registration check-in instructions on all applicable tabs to assist in the process of checking in a new class registrant.
Below are instructions for both accessing the registrations App and guidance for checking in a new registration.
Accessing the ILR Core - Registration App
1) From within Lightning, on the top left, click on the 6 dots (waffle). A drop-down box will appear with the ability to perform a search. In the search box, type in ilr, then select the ILR Core – Registration App.
NOTE – If for some reason the search of ilr doesn’t successfully display the ILR Core – Registration App, chose View More. View More, if selected, will display all the available Apps.
Registration Check-in Process
IMPORTANT - Prior to the first step in this process, which is clicking on the registration within the ILR Customer Service shared mailbox, set your default Lightning App to ILR Core – Registration (instructions within this document above). With ILR Core – Registration set as your default, you will be brought in to the registration checking App automatically when clicking on the new registration link within the new registration email in the ILR Customer Service mailbox.
1) New automated registrations come in through the ILR Customer Service mailbox from the sender ILR Customer Services with a subject of New Drupal Registration – “Name of registrant.” Open the new registration email and click on the web link at the bottom of the email.
2) You’ll be brought into Salesforce and directly to the Participant tab of the registrant. On the middle right of the page, there’s a block of red text with the title Participant Drupal Registration Review Checklist. Follow the first step by clicking on the Contact Name to the left of the checklist and within the Details tab.
3) You’ll be brought to the Contacts detail page on the Contact tab. In the middle of the page on the right hand side, there is a Contact Drupal Registration Review Checklist. Go through the checklist by verifying the information on the Contact Detail page. At the last step of the checklist, scroll to the bottom of the page and click on the Participant ID.
NOTE – Duplicates of the Contact, if there are any, will appear above the Contact Drupal Registration Review Checklist and Details tab.
4) You will be brought back to the Participant record on the Participant tab. On the Participant Drupal Registration Review Checklist, begin at step number 2 by reviewing any ADA Accommodations and Dietary Restrictions under the ADA heading.
5) Next, click on the pencil to the right of the Status field and select Enrolled -> select Save at the bottom of the page.
6) You should now be at step 4. Underneath the Participant checklist, you’ll see associated Financial Transactions. Click on the Financial Transaction ID.
7) Now on the Financial Transaction tab, go through steps 1 – 4 on the Financial Transaction Drupal Registration Review Checklist, to the right of the Details tab. On step 5, underneath the Financial Transaction checklist, select the Payment Name link from within Payment-FT.
8) You will be brought to the Payment tab, review the Payment Drupal Registration Review Checklist, in red, and to the right of the Details tab. At step 4, within the Payment-FT box underneath the checklist, select the Financial Transaction number link.
9) Back at the Financial Transaction, continue from step 6 by sending the appropriate Confirmation Letter, located toward the top middle of the page.
10) For step 7 click on the Participant Number on the Details tab.
