Description
Setting up an email address with a Cornell subdomain helps ensure that email sent through third-party mailing services, such as Mailchimp, is not blocked by email security protocols. This article describes how to request a Cornell subdomain email address from your regional Shared Business Network (SBN) IT staff, and how to configure it in Mailchimp. This process is available to all Cornell Cooperative Extension (CCE) staff.
Requesting a Cornell Subdomain Email Address
Submit a helpdesk request to your regional SBN IT staff at https://helpdesk.cce.cornell.edu.
Include the following information in your request:
- The vendor you use (e.g., Constant Contact, Mailchimp, Ultracamp)
- The group email account(s) you would like to use (e.g., monroe@cornell.edu)
- Your preferred subdomain address(es), which will end with @[county].cce.cornell.edu (e.g., news@monroe.cce.cornell.edu)
You can request multiple subdomain email addresses. Be sure to include the reply-to group email address that corresponds to each new subdomain email.
Configuring Mailchimp
Once you receive confirmation that your new subdomain email account has been set up, follow the steps below to add, verify, and authenticate it in Mailchimp.
- Log in to Mailchimp.
- Click the profile icon in the upper-right corner, then click Profile.
- On the Profile page, leave the username as-is, but update the email address field to the new subdomain address (e.g., news@genesee.cce.cornell.edu).
- Click Update.
- Click the profile icon again and choose Account & Billing.
- Click the Domains tab.
- Click Add & Verify Domain.
- Enter the new subdomain email address, then click Send Verification Email.
- Check your group email inbox for the verification code.
- Copy and paste the verification code into the verification field, then click Verify.
- If an authentication is in progress for an @cornell.edu address (not your new subdomain email), remove it from the list:
- Click the down arrow next to the Restart Authentication button, then click Remove.
- Click Remove Domain on the confirmation pop-up screen.
Sending a Test Email
There are two options for sending a test email to confirm that your new subdomain email address is working correctly:
- Mailchimp's built-in test email feature: A quick option, but the sender address will always display as @inbound.mailchimp.com. There is no option to change this to show your subdomain email address.
- Limited campaign send: Create or use an email campaign and send it to a small group of recipients to verify that the sender email displays as your new authenticated subdomain address.

Note: Any existing templates will need to be updated with the new subdomain email address before testing.
Note: When using Mailchimp's built-in test email feature, the sender address will display as @inbound.mailchimp.com — this is expected and does not indicate a problem with your setup.
- Open a new campaign email to test sending with your new subdomain email address.
In the upper-right corner, click Send a Test Email to send a test to yourself. It is recommended to also include a colleague's email address and a non-Cornell email address.

Note: In the first email you send to your recipients after switching to the new address, consider notifying them of the change. For example:
Please note our new sender email address and save it to your address book: [new sender email address]
