What to do with Ring Central

When Someone leaves ILR you will need to determine what to do with their phone number as it will stay with them if they move to another part of the University. 

OffBoarding

If the individual just has there own RC number more than likely the department they are going to will get them a new phone number getting them off of an ILR number. If someone has a physical phone, please submit a service request to get it removed. There is a charge for physical phones. The goal is to not have any physical phones for the future. 

If the persons number is something the ILR department needs for the next person coming into that position please submit a request for desktop support with Tech Services so we can get a ticket in with CIT. We will need the new persons name, what the phone number is and an account number. There is no charge for this, that is just how the work is ordered. 

If a person sits at a front desk answering for others in your department, has some sort of call queue, submit a request for desktop support for this as we would want to place a hold on that for the next person coming into that position. We can also point his number to a exchange group account (ex. ILR-TechServices@cornell.edu) so everyone in the department gets the voice mails for the number until the position of the new employee is filled. 

One other thing to think about is the phone number at hand, is it all over ILR web pages for contact information for your ILR department? If so you would want to keep this number for a future employee. Or make changes to email address its assigned to for voice mails.  

OnBoarding

If you have a new employee entering your ILR department please consider the same scenarios as above. Please try to discourage physical phones if possible. One thing that we recommend is to install the ring central application on your personal cell phone. This allows them to use a physical phone and without using there cell phone number.

Tech Services usually works out new phone numbers with a new employee as they come in to pick up their ILR computer. We also let facilities and HR know what the persons new number is so they can update directories. If you need anything further than that to happen with a new employee please submit a request for desktop support. 

Whatever you decide to do, OnBoarding or OffBoarding you will need to submit a request for desktop support with ILR tech Services so we can submit to CIT what needs to be done.
