If you would like to purchase software for your work at the university, please reach out to ILRTS and follow the guidance below.
Steps before Purchase
Cornell has many applications which are fully vetted and approved at a university level. We highly recommend looking at Cornell's Licensed Software for Faculty and Staff page for a list of potential options. These applications are not always what you need but since they are pre-vetted the purchasing process is very quick and straightforward.
If the application you need is not listed and you need it for your work at the university you will need to complete a Statement of Need or a Technology Risk Assessment based on the type of user and the information being stored in the application.
For software for staff a Statement of Need is required for all non-cornell software requests. If the application is a Cornell licensed product than the SoN is only required if medium or high-risk data needs to be stored there.
For faculty, a Statement of Need is only required if if medium or high-risk data needs to be stored on it. All non-Cornell licensed products purchased for faculty must submit a Technology Risk Assessment using this form.
At Time of Purchase
When all of the required paperwork has been submitted and approved there are two available methods.
If a unit has a p-card we recommend that you use that for the purchase. If a p-card is not available than please set up a time with Tech Services Accounts Representative to purchase the software using the ILRTS p-card. In either case, please attach the invoice or receipt as well as the SoN and TRA to your Tech Services ticket so that ILRTS can document the purchase and who owns it.
For purchasing over $1,500 we will need to create a KFS PO to process it. In this case please reach out to ILRTS and ILR's Fiscal office. Please send us the account number you wish to use and all the documentation for the SoN,TRA and Web Accessibility Triage if applicable as well as any documentation requested by Fiscal. After we have received everything we can process a KFS PO
After Purchase
Statements of Need and TRAs are good for one calendar year and must be filled out again when you wish to purchase the software for another year.
If the software is critical to your work please reach out to us one month before your license is set to expire. Statements of Need can take time to be reviewed so it is imperative to incorporate at least a week or two buffer to ensure business continuity.
