Office365 Licensing

Description

This article describes the Microsoft 365 license types available to Cornell Cooperative Extension (CCE) staff, how to check which license you currently have, and how to request an upgrade to a Microsoft 365 A3 license.

Regardless of which license type you have, all CCE staff have access to the full Microsoft 365 suite of desktop applications on CCE-owned computers joined to the Cornell domain. The suite includes Word, Excel, PowerPoint, Outlook, OneNote, and Teams. On Windows computers, Access, Publisher, and InfoPath are also included.

Note: Before installing a user-based license version of Office onto a CCE-owned computer, check with your regional or association IT support team at http://helpdesk.cce.cornell.edu/.

Microsoft 365 License Types

Office 365 licenses are available in two tiers: A1 and A3.

  • A1: 50 GB mailbox quota; provides access to Office Online apps on any computer.
    • All CCE staff receive at least an A1 license when hired.
    • Sign in at office.com for quick access to the online apps, which appear in the left column.
  • A3: 100 GB mailbox quota; ability to administer Microsoft Bookings sites; ability to download and install Microsoft Office desktop apps on non-Cornell domain-joined computers used for Cornell and CCE business.

Checking Your Current License

To find out which license you currently have:

  1. Go to portal.office.com/account.
  2. Select Subscriptions in the left-hand column.
  3. Your Office 365 license type (A1 or A3) will be displayed.

Acceptable Reasons for Requesting a Microsoft 365 A3 License

Acceptable reasons to request an upgraded A3 license for CCE business purposes include:

  • Larger mailbox (100 GB instead of 50 GB)
  • Ability to administer a Microsoft Bookings site
  • Downloading Office desktop apps on a non-Cornell domain-joined computer for CCE business

Note: Only full-time, regular employees may request an upgraded A3 license.

Note: Never share your Microsoft 365 A3 license with another person. Your license is personal and assigned only to you. You may not allow other individuals — including family members — to use your Cornell-licensed Microsoft applications.

Requesting a Microsoft 365 A3 License

Note: Office 365 A3 licenses are provided by Cornell Information Technology (CIT). CCE staff do not have authority over the approval of license upgrade requests.

Note: Only full-time, regular employees may request an upgraded A3 license.

  1. Click the link to access the CIT License Request form: A3 License Request Link
  2. Log in with your NetID credentials.
  3. Once logged in, confirm that the form has auto-filled your name and Acct/Dept correctly.
    • If the Acct/Dept field is incorrect, click the field and type the name of your county to search for and select it.
      • Example: Type Suffolk to select EXT – Suffolk Cnty Coop Ext Assn. If a duplicate entry appears, select either option.

  4. Click Submit. You will be redirected to a confirmation page. You may then close this window. Uploaded Image (Thumbnail)
  5. You will receive an email confirmation from CIT. Use the link in the ticket to track the status of your request. Uploaded Image (Thumbnail)
  6. Once CIT reviews your request, you will receive another email indicating whether the request was approved or denied.

Note: To keep your license activated, you must launch at least one Office application (such as Excel, Word, or Outlook) at least once every 30 days on each device. Learn more about keeping your license activated.
