Description
The Biotech copiers available for use on each floor are configured to utilize a tracking system via codes assigned by the administrative staff of Molecular Biology. In order to print to these copiers, first install the correct copier on a CALS managed PC or a personally owned computer:
- 107 Biotech (Mailroom): BIOTECH-107-RICOH
- Second floor: BIOTECH-2nd Floor-RICOH (BLACK & WHITE ONLY)
- Third floor: BIOTECH-3rd Floor-RICOH
- Fourth floor: BIOTECH-4th Floor-RICOH (BLACK & WHITE ONLY)
If there has not been a code assigned, or if the assigned code has been forgotten please contact Nicole Pierpont (nsp53@cornell.edu) or the administrative staff located in 107 Biotech for assistance.
Procedure
Follow the instructions below to configure the Biotech RICOH copiers preferences to print using an assigned code.
- 1. Press the Windows key and R at the same time to bring up the "Run" dialog window. Within the "Open:" field type control printers and press "OK". The Devices and Printers window will open immediately.
- 2. Right-click on the copier that needs to be configured and click "Printing Preferences"
- 3. In the "Printing Preferences" window, click the "Detailed Settings" tab
- 4. Under the "Detailed Settings" tab, in the "Menu:" pane, select "Job Setup"
- 5. Change "Job Type:" so that it says "Locked Print". Enter your assigned code in the "User code:" field, then click "Details...

- 6. In the "Job Type Details" dialog, enter your netID in the "User ID:" field, and a 4 to 8 digit code in the "Password:" field used for verification at the copier, and click "OK".

- 7. Back at the "Printing Preferences" window click "Apply", then "OK" to confirm the changes.
- Note: There is a problem with macOS Ventura (13) and its drivers that prevents you from saving your printing settings as a preset. If you have a Mac with Ventura (13) or above, you’ll need to enter your print settings each time you print. Pictures with a white background are for older macOS (12 or below), and pictures with a black background are for newer macOS (13 or above).
- 1. Open a document in Word, go to the "File" menu located in the top-left, and select "Print"
- 2. In the printer menu select "Job Log" in the drop down field below "Printer" and "Presets"

- 3. Fill out the fields as follows:
- "User ID": your NetID
- "Job Type": Locked Print
- "Password": 4 to 8 digit code used for verification at copier, user's choice
- Checkmark the "Enable User Code" box
- "User code": assigned copier code

If you have a Mac with Ventura (13) or above, you’ll need to enter your print settings each time you print.
- 4. FOR THE SECOND AND FOURTH FLOOR COPIERS ONLY. IF CONFIGURING 3RD FLOOR OR MAILROOM COPIERS, PLEASE SKIP AHEAD TO STEP 6. Select "Printer Features" in the print menu, where "Job Log" is located.
- 5. FOR THE SECOND AND FOURTH FLOOR COPIERS ONLY. IF CONFIGURING 3RD FLOOR OR MAILROOM COPIERS, PLEASE SKIP AHEAD TO STEP 6. Under "Color Mode:" select "Black and White"

- 6. Under "Presets:" select "Save Current Settings as Preset..."
Note: If you have a Mac with Ventura (13) or above, you’ll need to enter your print settings each time you print. Please do not save the printer settings because it will not work.
- 7. Name the preset with the copier associated, select "All Printers" next to "Preset Available For:" and click "OK" (Note: When printing in the future to these copiers, make sure to select the appropriate preset so your copier code and password are entered correctly with the print job.)
- 8. Click "Print" to print the document, or "Cancel" if not printing at this time
