Overview
This guide explains how to use the Crestron touch panel and Zoom Room in Sage Hall B08. It covers basic presentation, using Zoom Rooms (displaying Zoom, inviting the room to a meeting, joining a meeting, sharing content, dual-screen layouts, and changing cameras), changing the source on the lectern and confidence monitors, audio controls, lights and shades, shutting the room off, and troubleshooting.
Basic Presentation
- At the Crestron touch panel on the lectern, press Start System to turn the room on.

- Once the system warms up, select the source to send to the display(s), for example your laptop, the installed PC, or the Zoom Room.
Note: The touch panel could also say Use Displays or Start/Left/Right/Center Projectors depending on the room.
Connecting a Laptop
- Use the HDMI/USB-C cable or adapters located in the lectern's cable cubby and plug into your personal device.
- Press Laptop on the Crestron touch panel.
If the lectern has a combined USB-C / HDMI connection, tapping the laptop source opens an Options window where you can switch between HDMI and USB-C.
To temporarily hide your content without shutting down, tap Blank Screen. Tap Unblank Screen to bring the picture back.
Using Zoom Rooms
Displaying Zoom in the Room
- At the Crestron touch panel on the lectern, press Start System (Use Displays in some rooms) to turn the room on.
- Press Zoom Room Content/Participants to send the Zoom Room to the displays.

Inviting the Room to a Zoom Meeting

Through Outlook
Google Calendar will not work for this method.
- Schedule your Zoom meeting as normal.
- Copy the Zoom meeting link (only the link).
- In Outlook, create a new calendar event and fill out the following fields:
- Title: how you want the meeting to show up on the monitor in the room.

- Invite Attendees: the name of the Zoom Room. The name is listed on the bottom right of the room's monitor. For example:
Sage Hall B08.
- Body: paste the copied Zoom link only.
Note: If you cannot find the Zoom Room calendar when you type its name, select the Required box and type the name in the search bar of the popup box. After you do this the first time, you should be able to search for it normally.

Joining a Zoom Meeting
Pre-invited meetings
If the steps in Inviting the Room to a Zoom Meeting were followed, the meeting appears on the touch panel. Tap the meeting, then tap Join.

Meetings the room was not invited to
If the room was not invited to the Zoom meeting before the meeting start, you can join using one of these options:
- New Meeting: creates a new Zoom meeting with a random meeting ID. To share the meeting information with others, press the green shield in the top left of the touch panel screen. The meeting ID and password appear in a popup window.
- Join Meeting: press this button to enter a Zoom meeting ID and password to join your Zoom meeting.

Sharing Content
- On the Zoom Room touch panel, press the green Share Content button.
- Press the blue Share to Meeting button.
- On the Crestron touch panel, under the Share to Zoom Room section, the last source sent to a display/projector is automatically sent as content. To send a different source:
- Press the Choose a different source button.
- Select the desired source.

Dual-Screen Rooms
To change the layout of people and content in Zoom (both screens content or people):
- Click View.
- Select the display that needs to be changed (1 or 2).
- Press the Content/People button.

Changing Cameras
- Click the Cameras tab on the top of the Crestron touch panel.
- Select a camera and use the controls on the screen to adjust the cameras in the room.
- Return to the Home tab when done.

Presets
- Fixed Presets recall standard shots (for example “Lectern Wide,” “Lectern Close,” or “Boards”).
- User Presets can be saved by you: frame the shot, then press and hold a user preset button for 3 seconds to save it.
Camera tracking
When camera tracking is enabled, the instructor camera automatically moves around the room when the person focused on the camera moves around the room. Tap Enable Tracking to turn it on; the button shows Tracking Enabled when active.
For further instruction on camera tracking, please reach out to the audio visual department.
Changing Source on Lectern and Confidence Monitors
By default, the lectern and confidence monitors mirror what is being sent to the projectors at the front of the room. To change from mirroring:
- Press the Advanced Options tab on the top of the Crestron touch panel.
- Select either Confidence Monitors or Lectern Monitors.
- Select the desired source.

The Advanced page also lets you send different sources to specific front displays (left, right, or center) instead of mirroring one source everywhere. Select a display, then select the source to show on it. A Mirror a Front Display option copies one display's content to another.

Audio
Audio/Microphones Only Setup
This feature allows ONLY the microphones to work.
- Press Audio Only on the Crestron touch panel.
- Use the touch panel to adjust the desired microphone to the proper level.
Note: Not all rooms have the same selection of microphones.

Microphones
- Take the lapel/handheld microphone off the charger base on the lectern.
- Press the power button on the microphone and wait for the light on it to change from red to green.
- Use the up/down arrows on the microphone's audio bar to adjust the audio level.
- Toggle the Mute button to mute microphone audio in the room.

Desktop/Laptop Audio
- On the Home page, adjust the PC audio using the audio bar on the right side of the Crestron touch panel.
- Toggle the Mute button to mute desktop/laptop audio in the room.
Zoom Audio
- Zoom audio is not available until you press Zoom Room Content/Participants on the Crestron touch panel. A Zoom audio bar then appears.
- To mute the ceiling microphones, press the Mute Ceiling Mics button on the top right of the Crestron touch panel. It turns red. To turn the ceiling microphones back on, press it again (Unmute Ceiling Mics).
All audio levels reset to their defaults when the system shuts down, so the next user always starts from a known state.

Lights and Shades
The Lights & Shades page on the Crestron touch panel gives you lighting presets (for example “Lights On” or presentation scenes) and shade controls. For each shade zone, tap Open, Close, or Stop. Lighting and shade changes take effect immediately and are independent of the AV system power.
Shutting the Room Off
- When you are finished with the room, press End Session, then Yes, located at the top right corner of the Crestron touch panel.
- Reset the room to default settings by pressing Reset for next user.
- To switch the mode the room is in (Displays/Audio), press the option under Switch to a different mode.

Note: This option is different depending on the room.
Troubleshooting
| Problem |
What to try |
| Panel is dark |
Tap the screen to wake it. If it stays dark, check that the panel has power, then contact AV support. |
| No image from PC |
Click the mouse and ensure the PC is awake. If there is still nothing, check that the PC is powered on. If it still does not display, contact AV support. |
| No image from laptop |
Reseat the HDMI or USB-C cable. If using a combined connection, open the laptop source Options and make sure the correct input (HDMI vs. USB-C) is selected. Confirm your laptop is outputting video (duplicate/extend display). |
| No sound |
Check the program volume slider and Mute button on the panel, then your laptop's own volume. Make sure the correct source is selected. |
| Far end can't hear the room |
Unmute the microphones on the panel, including Unmute Ceiling Mics if the room has ceiling microphones. |
| Zoom Room shows wrong content |
Open Share to Zoom Room and check the current share. In Auto mode, the last source sent to a front display is shared. Switch to a specific source if needed. |
| Panel says “System is Offline” or “Initializing” |
Wait a minute for the system to reconnect. If it does not recover, contact AV support. |
