Box: Share a Folder in Your Department's Box Folder

You can invite people, including people outside your department, to collaborate on a folder inside your department's Box folder.

Before you share

  • Collaborators get access to everything in the folder. Box uses "waterfall permissions": anyone you invite to a folder automatically gets the same access to all of its subfolders and files, including ones added later. For details, see Box: Waterfall Permissions.
  • Give the folder a descriptive name. A shared folder appears in each collaborator's All Files list. If the name is too generic, they may not know whose folder it is. Box recommends starting the name with something that identifies the owner, for example:
    • "SC Johnson Department Name - Folder Name"
    • "SC Johnson IT Dept - Fileserver Project"
  • Consider a "SHARED" folder. Create a folder named SHARED inside your department's Box folder and keep every folder you share outside the department in it. That way, only files you intend to share end up in a shared location.

Share a folder

  1. Select or hover over the folder you want to share, then click Share on the right.
Share button on the right side of a selected folder
  2. The Share window opens.

  3. In the Invite People field, type the person's name, NetID or email address. As you type, Box suggests matching people. Select the right one, or keep typing the full email address. To invite several people by email address, separate the addresses with a space.
  4. Click the Invite as drop-down menu and choose a role for the collaborator, such as Editor or Viewer. The menu shows what each role can do.

  5. (Optional) In the Message field, type a message for the collaborator, up to 750 characters.
  6. Click Send.
