Add a Zoom Room to an Outlook Meeting

Summary

Add a Zoom Room to an Outlook Meeting

Body

Adding a Zoom Room to an Outlook Meeting can be initiated using the Microsoft Zoom Add-in for Outlook, or the Outlook Scheduling Assistant. In ILR Zoom Room enabled spaces, such as Ives 181, 199, 217, 281, and 289, inviting the room will allow for joining the meeting on the room's controller as the meeting host without the need to sign in. The links below outline the appropriate meeting creation methods.

Additional step for scheduling a Webinar:

Due to the the nature of a more locked down experience for a Webinar versus a meeting, it is necessary to provide the room additional permission to start the session as an alternate host. When scheduling the Webinar, enter the room name under alternative hosts in the format of ilr ives 281 while using spaces between each and specifying the relevant room number. This should ensure that the Webinar can be started from the room touch panel without the need for the host to start it from their computer first. The steps in the link above remain necessary to coincide with the room booking process in Outlook.
