Order of Operations

Summary

The standard operating procedure for maintaining the course banking system, and who is responsible for what.

Body

It is critical that this order be followed.  The exact dates are not as important as the order in which they occur.  If a timing slot gets missed, DO NOT proceed without carrying out the late action before moving on.

Timing Task Responsible
End of June Send out emails to faculty with their banked courses number (include note about any grant related course releases) TW/RC
     
Early July Add new faculty and their obligation TW/RC
  Increment the obligation and service reductions to obligation for the new academic year JW
  Add leaves and sabbaticals for FALL semester TW/RC
     
August Pull Fall semester classes from Peoplesoft into Tiger sandbox JW
  Review Fall semester classes and make any needed changes TW/RC
     
Mid-August Generate list of all faculty with Fall annual/biennial reviews and start spreadsheet with banked courses column TW/AD
  Update annual/biennial review spreadsheet with any data about course loads, releases, possible overload or under obligation, etc & give to SAD for fall reviews RC
  After the add period, run the courses with updated enrollment number and pull into production JW
  Double check that any 7W2 courses are pulled in TW/RC
     
Mid-Sept thru October Assistant Professor annual reviews occur - check review letters for any updates to course loads, releases for next year, possible 3rd year review leaves, etc and  note in course banking files TW/RC
     
October Run report for SAD outlining all faculty & their course bank number noting any banked courses that may be cashed in or faculty who may be under obligation  TW/RC
  Run Sabbatical report of anyone who is due or overdue to take sabbatical in the next Academic Year TW
  Pre-enrollment for Spring classes in Peoplesoft  
     
November Associate Professor biennial reviews occur - check review letters for any updates to course loads, releases for the next year, possible leaves, etc and note in course banking files TW/RC
     
Early January  Departments turn in next Academic Year course offerings  
  Review course offerings to check for notes about course banking/leaves, etc RC
     
Mid-January Update any service or obligations JW/TW/RC
  Add leaves and sabbaticals for SPRING semester TW/RC
  Import projected Spring classes and teaching credits to Tiger sandbox JW
  Double check that any 7W2 courses are pulled in  TW/RC
     
Late January/Early Feb After add period, run courses with updated enrollment numbers and pull into production JW
     
Mid-April Run report for course enrollments to find courses that have more or less credits than they should, check all enrollment near the 195 threshold for correct teaching credits. JW/TW/RC
  Add in any banked credits spent during the Academic Year & follow up as necessary regarding any faculty under obligation TW/RC
  Add any notes about faculty that have earned a banked course during the Academic Year TW/RC
  Run report for service or one-year terms ending in June.  Determine if faculty member is renewing for an additional term or if another faculty is assigned the academic service TW/RC
  Pre-enrollment for FALL classes
