Western - CCE Volunteers - Computer and E-mail Access Guide

Summary

Volunteers are set up with access to a CCE computer while working in the office or, when applicable, off-site at events. For off-site access to a group e-mail account, a sponsored NetID is required.

This guide explains how CCE volunteers in the Western NY region can access e-mail and program resources while volunteering in the office or off-site.

Using a CCE Computer (In Office & Off-Site)

Use **one** of the following login options based on how the computer will be used.

Option 1: Sponsored NetID login (individual use)

Use this option when:

  • You have been set up with a Cornell Sponsored NetID, and
  • Only you will be using the computer while you are signed in.*
    *See exception "Option 2" for Master Gardener (MG) volunteers.

Please Note:

  • NEVER sign in as yourself and then hand the computer to someone else to use.
    • If someone else needs to use the computer for a presentation, talk to your local IT contact about the limited local "Presentation" account.
       
  • Out of office computer use - If this is the first time logging into a newly loaned computer - Sign into the computer once while you are in the office before taking it off-site. After that, you should be able to sign in later even when you’re not on the CCE network.
    • If you are already out of the office and have never logged into this specific CCE computer before, you may need to:
      • (if internet access available) use the Cisco VPN “Connect Before Login” feature to log in with your NetID credentials.

      • OR use the local “Presentation” account.​​​​​​
         

Option 2: Master Gardener Volunteer Shared Account 

When multiple MG volunteers will be working on the MG computer.

  • Use the dedicated MG account to log into the MG computer and access the group e-mail account.  This computer profile is set up and available to use for those working with the Master Gardener hotline program. (Example: Chautauqua Master Gardener account is ext-chamg)
  • Do NOT share this account password with CCE staff or volunteers UNLESS approved by the Executive Director. 
    • If you believe this password has been compromised in any way, immediately notify your program manager and/or the Executive Director.

If you were not assigned a computer and need one for program work, please see your local program manager, CCE IT contact or Executive Director for a list of available extra computers and the procedure for signing one out.

 

Volunteers with an active Sponsored NetID can access a CCE group e‑mail account outside the office using Outlook on the web (OWA) at https://outlook.cornell.edu.

Accessing Group E‑mail Outside the Office

  1. Open an Internet browser (Edge, Chrome, Firefox, Safari)
  2. Go to https://outlook.cornell.edu  
  3. Sign in using Sponsored NetID e-mail address and NetID password
  4. Complete two-step authentication
  5. Once logged in, there are two options for accessing the group e-mail account.

 

Option 1:  Open group e-mail in new web browser tab and save as a bookmark/favorite

  1. Once logged into https://outlook.cornell.edu with your NetID, click on the person icon in the upper right-hand corner.Uploaded Image (Thumbnail)

  2. Select “open another mailbox” from the drop-down menu.

  3. Type in the name of the group account (ex. monroemg@cornell.edu) and search directory.

  4. Select the group e-mail and then click Open.Uploaded Image (Thumbnail)

Tip:   Once the group e-mail is displayed, create a favorite in browser toolbar to easily access the group e-mail again later.
All major web browsers support the Ctrl+D on a PC and Cmd+D on Mac shortcut key combination to quickly add a bookmark/favorite.

Option 2: Add group e-mail to always show under your NetID e-mail

  1. Once logged into https://outlook.cornell.edu with your NetID, right click on your Cornell e-mail in left menu and select Add shared folder or mailbox

  2. Type in the name of the group e-mail address (ex. mgerie@cornell.edu) to search the Cornell directory.
     

  3. Click on the e-mail to select it and click ContinueUploaded Image (Thumbnail)

  4. Scroll down the left folder menu to view the group e-mail inbox. Uploaded Image (Thumbnail)

  5. Click the > arrow next to its name to open and view the Inbox and folders.
     

Please note:  Your Sponsored NetID e-mail is a fully functioning Cornell e-mail but please use the group e-mail account for all program-related communications.

If there are any issues accessing the group e-mail, please talk with your CCE program manager.
