Learn how extra or loaner laptops are managed in Western CCE region offices, including who can use them, how to log in, and proper usage.
Overview of Extra and Loaner Laptops
Extra laptops are typically older laptops that are four years or older, and not meant for every day staff use. Regional IT staff have cleaned these laptops, installed basic software (Adobe Reader, Office 365) and labeled as “EXTRA” or “LOANER” along with the year of purchase. This labeling helps identify the newest available extra computers.
Local IT staff routinely turn on these laptops to keep Windows up to date. It is highly recommended to allow extra time to power on the computer, let Windows check for updates, and restart the device before using it for meetings or presentations.

Logging Into An Extra Computer
You have two login options depending on your situation:
- Your NetID credentials – When YOU will be using the laptop
- If you are in the office, connected to the Cornell network, and will be the only one using the laptop while logged into it - you can log in with your own NetID credentials.
- If you need to use the laptop away from the office and be signed in as yourself, be sure to sign into the computer before taking it offsite, so it can cache your credentials.
- NEVER log in as yourself and then hand it over to someone else to use.
- Note: If you are already out of the office and have never logged into this specific extra computer before, you may need to use the local “Presentation” account. Alternatively, you can use the Cisco VPN “Connect Before Login” feature to log in with your NetID credentials. For instructions, see: Article - Cornell VPN
- Local User account (“Presentation”) – When anyone else is using it
- If the computer will be used by someone who does not have a Cornell NetID or a Sponsored NetID, use this account regardless of location.
- Do not share this account password with non-CCE staff UNLESS approved by the Executive Director. This is typically approved only for long-term volunteers.
