Guidelines

Call Auditorium follows Cornell University policies regarding space usage, scheduling and fees. For up to date details, please see the University Academic and Event Scheduling Website.

No food or drinks are allowed in Call Auditorium. Catering may take place outside the auditorium, there is hall space outside the main doors as well as seating space at eHub. Find out about reservations for eHub.

No animals (except Service Animals, as defined by Cornell Policy 2.8 - Pets on Campus ) are allowed in Call Auditorium. Research and Teaching Animals are also not allowed, unless an exception is made by the auditorium manager. 

Fees

Call Auditorium is a for fee space for non-CALS events. We ask for an account number on all events to ensure any charges are covered. Rates (effective date 1 July, 2024) are:

  1. The auditorium manager will confirm the Call Auditorium fee for your event when the reservation is confirmed.
    1. Note that the rate quoted will not include possible custodial fees, which are levied directly by Cornell Facilities.
    2. Rates include AV support staff on-site during your event.
  2. For non-CALS events, the fee to use Call Auditorium (Kennedy 116) is $313 / hour with a 2 hour minimum.
  3. Due to the capacity of Call Auditorium, all events require 30 minutes of setup/occupancy time and 30 minutes of breakdown/departure time.  
    1. If your event is 1 hour long, you will be billed for the 2 hour minimum.
    2. If your event is longer than 1 hour, you will be billed for the duration of your event + 30 minutes setup + 30 minutes breakdown.
  4. CALS hosted events do not pay to use Call Auditorium. If custodial fees are levied by Cornell Facilities, CALS hosted events will pay those fees.
  5. For any event that Cornell Facilities Services determines requires custodial coverage above and beyond their standard support, you will be billed directly from Facilities. Their standard rate is $36.91 / hour (plus overtime fees) at a minimum of 4 hours. The minimum charge is $198.23. Custodial rates are as of March 2024.   6. In accordance with University Academic and Event Scheduling policy, most events in Call Auditorium will require an ERF and therefore must be scheduled at least 4 weeks before the event.
  7. Cancellations:
    1. If an event is canceled due to a closure by Cornell University, there will be no fee.
    2. If an event organizer cancels the event 2 weeks or more before the event, there will be no fee.
    3. If an event organizer cancels the event less than 2 weeks and more than 48 hours before the event, 25% of the fee will be charged.
    4. If an event organizer cancels the event less than 48 hours before the event, 50% of the fee will be charged.
    5. If an event organizer cancels the event without notifying the auditorium manager or there is a no show event, 100% of the fee will be charged.
    6. Contact custodial manager above with questions about cancellations.

Audio Visual capabilities

  • In-house computer, projectors, and sound system.
  • Laptop connection to the in-house system.
  • Maximum of four (4) lavalier (clip-on) wireless microphones.
  • Four (4) handheld wireless microphone, with or without floor stands.
  • Four (4) wired panel microphones with table stands.
  • Stage Podium – to be positioned or re-positioned by staff only.
    • Available in one of three fixed positions on stage.
    • Wired podium (gooseneck) microphone.
    • HDMI cable laptop connections to the AV system.
    • Adapters may be available (please inquire prior to your event).
  • House audio feed can be made available to third-party videographers (please inquire prior to your event).
  • Video streaming may be available, depending on platform (please inquire prior to your event).
  • Assisted Listening devices are available upon request.

Furniture and fixtures

  • Fixed theater-style seating to accommodate 596 occupants.
  • Three (3) foldable tables (5 feet in length each) for use on stage.
  • Forty (40) chairs are available for use on stage.
  • Wheelchair accessibility is available at the first and ground floor levels.
  • Doorways and aisles must be kept clear of objects and attendees at all times.

Access

  • The doors to Call Auditorium will be unlocked and locked at the times that you indicated on this request form (above) as Setup Start Time and Cleanup End Time, respectively. 
  • For access to Kennedy Hall outside regular business hours, please coordinate access times with the auditorium manager.

Deliveries

  • Any additional furniture needs are the responsibility of the event coordinator.
  • Please coordinate with the auditorium manager for delivery and pick up times for furniture, flowers or any other items.

Advance AV testing

  • It is recommended that you test audio and/or video devices and content prior to your event. This must be scheduled with the auditorium manager to avoid any disruptions with classes or other events.
