Consortium Applications in Salesforce

Summary

Applicants who apply to the Cornell MBA through The Consortium for Graduate Study in Management fill out the Consortium's application, not Johnson's. This page explains how those applications get into Salesforce, when they arrive, and what to do when one seems to be missing.

At a glance

Question Answer
Where do Consortium applicants apply? On the Consortium's own application site. They do not use the Johnson apply site.
How do their applications get into Salesforce? The Salesforce team loads them in batches. Nothing arrives on its own.
When are they loaded? Three times a season. See When applications are loaded.
Will a later load overwrite my edits? Not on the application record. See Editing a loaded application.
An application is missing. What do I do? Don't enter it by hand. See If an application is missing.

How a Consortium application appears in Salesforce

Each load creates, for every Consortium application not already in Salesforce:

  • an MBA application for the Cornell MBA program, with the Consortium record type and the Consortium box checked
  • the applicant's addresses, education, employment, recommenders, test scores, and affiliations and certifications, as related records
  • a Lead, a Contact and an applicant login, if the applicant is new to Johnson

An applicant is matched to an existing Lead and Contact by email address. If they applied to the Consortium with a different email from the one Johnson has, a second Lead and Contact may be created.

Consortium applications are marked by the record type and the Consortium box, not by the program. The program is always the Cornell MBA.

When applications are loaded

There are three loads each season:

  1. After the Consortium's October 15 deadline.
  2. After the Consortium's January 5 deadline.
  3. A final load for applicants who complete missing parts by January 31. These still count as Round 2.

Each season, Admissions decides whether the October 15 deadline lines up with Johnson Round 1 or Round 2. The loaded applications get the round Admissions chose.

After each load, the Salesforce team sends the Cornell MBA admissions team the list of applications it created.

Editing a loaded application

Once an application is in Salesforce, later loads never change the application record. Your edits to it are safe. Each load adds only applications that aren't in Salesforce yet.

The related records (addresses, education, employment, recommenders, test scores, affiliations) work differently: a later load may add them again, so you may see a duplicate. If a related record shows up twice after a load, submit a ticket.

Applicants can add colleges, achievements, activities and credentials on the Consortium site after they submit. Those changes do not reach Salesforce. Admissions compares Salesforce with the Consortium application and contacts the applicant about any gaps.

What Consortium applicants don't get from Salesforce

Because they apply through the Consortium, some Johnson automation skips them:

  • They don't get Johnson's application created email (Admissions Email Management).
  • Their recommenders don't get Johnson's recommendation request emails. Recommendations come through the Consortium.
  • The load doesn't include a PDF of the Consortium application.

If an application is missing

If you can see an applicant's Lead in Salesforce but not their Consortium application, the most likely reason is that the application was submitted or released after the most recent load. It will come in with the next load.

Don't create the application by hand. The load checks each Consortium application's own ID to avoid duplicates. An application entered by hand doesn't have that ID, so the next load creates a second copy of it.

If the application should have come in with a load that has already happened, submit a ticket. Include the applicant's name and the email address they used on the Consortium application. The Salesforce team can load missing applications outside the normal schedule.

Privacy

Consortium application data is personal information and is used for federal reporting. Treat it like any other applicant record. Salesforce does not store Social Security Numbers, and the Consortium does not send them.
