What Happens After You Submit a Project Request

Summary

What happens after you submit a JCB IT project request, and how you'll hear the decision.

Body

Who this is for / when to use it

Use this if you've submitted a project request to JCB IT and want to know what happens next. After you click Submit, your request's status changes to Submitted, and the JCB IT Project Solutions and Partnerships (PSP) team takes it from there.

Before you start

What happens next

  1. The PSP team receives your request. You may also see Not Reviewed next to the General heading on your request.
  2. A scorecard is prepared. Scorecards help the governance committee rank project requests. A scorecard will be sent to you to fill out. If you have questions about it, a member of the PSP team can help.
  3. Your request may go to the JCB IT Governance Committee. Many project requests are reviewed by this committee, which includes representatives from JCB IT and the college's business units. It meets every six months to review project requests, rank them using scorecards (based on criteria such as strategic alignment, potential impact, feasibility and resource needs), and decide which projects JCB IT will resource.
    • When your request is reviewed: you can submit a project request at any time. When it's reviewed depends on when you submit it: requests submitted by a meeting's intake deadline are reviewed at that meeting. For current meeting dates and deadlines, see Important Dates on the JCB IT Governance page (Cornell login required).
  4. You hear about the decision. About one month after the governance meeting, an email announcing the results is sent to the Governance Committee and other stakeholders. Committee members pass the results on as appropriate.
    • Approved: you'll be told the project's start dates, how long it will run, and your JCB IT contact.
    • Approved but not resourced: the committee approved it, but no JCB IT resources were available this cycle. Your project stays in the queue for the next governance meeting.
    • Not approved: you'll have the option to revise your scorecard and project description and resubmit it for the next governance cycle.

Check on your request

  • In the JCB IT Portal, go to Services → Project Requests and open your request. Its status appears in the top-right corner.
