Creating Fund Source Records

Summary

How to check for and create Fund Source records in the RDLA app, including a Faculty RPF Account Fund Source for a faculty funder, so they can be selected in the Quote Calculator and contract funding.

Body

Overview

A Fund Source is a funding account used to pay for a database, such as a college fund, a library fund or a faculty member's RPF account. A Fund Source is created once and reused: the Quote Calculator and the contract funding screen both pick from the existing Fund Source records. If the account you need isn't listed in a calculator, its Fund Source record needs to be created here first.

Search before you create. Check the Fund Sources list first, so the same account isn't entered twice.

Find existing Fund Sources

  1. Log in to Salesforce and open the RDLA app.
  2. Click Show Navigation Menu, then Fund Sources.
  3. Search the All list view, or use the Salesforce global search at the top of the screen, to check whether the Fund Source already exists.

Create a Fund Source

  1. On the Fund Sources tab, click New.
  2. Complete the form. Required fields are marked with a red asterisk (*).
    • Fund Source Name – a name that lets others recognize the account easily.
    • Fund Type – decides which section of the calculators the Fund Source appears in (see the table below).
    • Fund Status – only Fund Sources with a status of Active can be picked in the calculators.
  3. Click Save, or Save & New to save and start another Fund Source.

Where each Fund Type appears in the Quote Calculator

Fund Type Quote Calculator section
College Fund College Funding
Dean Discretionary Fund Dean Funding
Faculty RPF Account Faculty RPF Account Funding
Area Fund Area Funding
Library Library Funding
Center and Institute Center and Institute Funding

Contract funding (on the Contract record) lists every Active Fund Source, whatever its Fund Type.

Create a Faculty RPF Account Fund Source

Each faculty member's RPF account should be its own Fund Source record. This keeps each faculty member's funding allocation correct, and it is what lets the renewal emails reach the right faculty funders.

  1. Click New on the Fund Sources tab.
  2. Set Fund Type to Faculty RPF Account. Optionally, set Fund Subtype to RPF account.
  3. Set Fund Status to Active.
  4. In Faculty Funder, search for the faculty member and select their Contact record. Click Show more results to open the full search if they don't appear in the first suggestions, select the contact, and click Select.
  5. Click Save.

Don't skip Faculty Funder. The faculty funder's name and email come from this field. Without it, the Opt In / Opt Out renewal emails have no faculty funder to send to.
