How to publish and send notification of a decision letter

This provides the outline of how to publish decisions for the Admissions Application process.

IMPORTANT NOTES:

• The Targeted Decision Letter field must be populated in order to render a decision letter.  Below are the criteria for rendering a decision letter for each program.  If there is no text in the box, that means that field is not part of the criteria for rendering that Targeted Decision Letter and therefore can have any value in that field.
• The Evaluation Order column defines the order in which the Application record is checked to assign the correct Targeted Decision Letter.  
• If an Application does not meet the criteria below, it will have a blank Targeted Decision Letter value.  If that is the case, then no decision letter will be created when the Publish NOW process is run.
• If a Scholarship is Awarded, you must populate the Scholarship Amount field, as that is used in the decision letter to inform the applicant.

There are 2 methods in which you can publish a decision letter:

• Through an updateable list view in which you can send out one or more multiple decision at a time (may be preferable if you tend to do decisions in batches)
• One decision at a time at the application level (you have a single application open / when you need to send our just one decision)

How to publish a single decision

1. There are three fields that control the publish process:
   1. Targeted Decision Letter
   2. Publish Now
      
   3. Publish Now Status

As fields meet the criteria for a decision letter, the "targeted decision letter" field will populate and provide which letter will be published.  Until the Targeted Decision Letter field is filled in, you will not be able to Publish a letter.  The criteria for each letter is setup when the new DocGen Package/DDP is set up.  Refer to "How to setup a new DocGen Package/DDP" for more information.
3. Once the targeted decision letter field is populated with the desired decision letter, set the Publish Now field to 'Publish NOW' and save the record
4. At this time the process is running and the Publish Now Status field with say 'Awaiting Decision Letter'.
5. Wait a minute (or less) and refresh the browser screen. Eventually the following will happen:
   1. The Publish Now Status field will say '3-Published'
   2. The Publish Now field will be blank
   3. Decision Email checkbox will be checked
   4. Decision Email Sent Date field will be populated with the date/time this process ran
   5. There will be a decision file/pdf attached to the application
   6. The applicant will receive a decision notification email

Publish Multiple Decision Letters via List View:

You will need to setup an updateable list view with the criteria of the applicants you are looking for. Example: Metro program, apply year 2021, offer = denied. The list view will also require the record type as a filter, this has to be done or else you cant update the list. From the previous example, this would be the Metro program record type. Also include the Targeted Decision Letter and Publish Now fields to the list view (not as filters) so you can see/confirm the letter that's going to get rendered and have the Publish Now field available - remember that's the field we have to update in the list view.

Once you have the list view built, you can set the Publish Now field to "Publish NOW" for all the applicants in the list view and hit save at the bottom. So if there were 25 applicants then 25 decision files were rendered /emails sent to applicants.

 Other Contingency Due Date <> Blank/Null

 Contingent offers must have at least one contingency reason

 You can also have the mixed Transcript/Math or other variations of contingency reasons.

 Transcript reason must have Transcript Contingent Due Date populated

 Other Contingency Reason Detail must have Other Contingent Due Date populated (this works with the 'Employment' contingency reason)

  URL on page two changes dynamically depending on if its ‘Statistics’ or 'Statistics and Algebra'

   Scholarship Total > 0

Cornell Executive MBA (Metro NY)

 Other Contingency Due Date <> Blank/Null

 Contingent offers must have at least one contingency reason
