How to Manage Student Employee Groups for Shared Drive Access

Summary

Add or remove student employees from the groups that control access to your unit's shared drives, using the delegated group management tool.

Body

Before you begin

  • You have been granted delegated access to manage the student employee groups for your unit. If you are not sure whether you have this access, contact the Helpdesk at itrequests@business.cornell.edu.
  • You have your NetID and Cornell password.
  • You know the name of the group you need to change. Groups are named for the unit they serve, for example JCB-SHA-HotelFinance_Students.
  • You have the NetID of each student you are adding. The tool searches by NetID, not by name.

Steps

Open the group you need to change

  1. Go to Student Employee Groups in the Cornell Active Directory management tool.
  2. Sign in with NetID@cornell.edu and your Cornell password.
  3. Select the checkbox next to the student group you need to change.
  4. In the upper right, click Members.

     

Remove a student from the group

  1. Select the checkbox next to the student you want to remove.
  2. Click Remove.

     

Add a student to the group

  1. Click Add.

     
  2. In the Search field, enter the student's NetID, then press Enter.
  3. Select the student, then click OK.

Show students' full names

The member list shows NetIDs only. To see full names as well:

  1. Next to Filter, click the menu button (three stacked lines), then select Choose columns.

     
  2. In the Hidden columns list, select Display Name, then click the right arrow to move it into Displayed columns.

     
  3. With Display Name still selected, click the up arrow to move it directly below Name, then click OK.

A Display Name column appears next to Name, showing each student's full name.

This column setting does not stay set. Repeat these steps each time you open a member list, and again on the Add screen if you want full names there too.

Expected result

The group's Members list shows exactly the students who should have access: the students you added now appear in the list, and the students you removed no longer do. Access to the shared drive changes right away.

Troubleshooting

Before you report a problem, try these quick checks:

  • A student still cannot reach the shared drive: ask them to sign out of their computer and sign back in, then try again.
  • The group you need is not listed: use the Filter box to search for it by name. If it still does not appear, your delegated access may not cover that group.
  • Your search returns no students: confirm you entered the student's NetID rather than their name or email address, and check it for typos.
  • You cannot tell which student is which: follow the steps above to add the Display Name column.
  • You cannot sign in: confirm you are using NetID@cornell.edu and not your NetID on its own.
