Guidelines for allowing others from outside of your department to collaborate in your Department's Box folder:
- When you share a folder, all files and folders within that folder will be accessible by all invited collaborators
- Box implements "Waterfall Permissions" so once a person is invited to collaborate on a folder, they
automatically get the same access to all subfolders, even on folders created later in the future
- When you share a folder, collaborators will see your folder in their All Files list. If the name of the folder you
share is too generic, they may not know who the folder belongs to. Box recommends prefixing the folder name
with a descriptive name such that others will know who owns the folder.
- Prefix Examples:
- "SC Johnson DEPARTMENT NAME - SHARED - NAME OF THE FOLDER"
- "SC Johnson IT DEPT - SHARED - Fileserver Project"
- If preferred, you can create a "SHARED" folder within your Department's Box folder to store all folders you
plan on sharing with people outside of your department.
- This will ensure you only save files you intend to share out with others underneath these folders
How To Share A Folder Within Your Department's Box Folder
- Select or hover over the folder you would like to share
- On the right, click Share.
- The Share window opens.
- Type in the person's name, netid, or email address in the Invite People field (ex. "Eric Fitchette" or "ef46" or "ef46@cornell.edu")
- As you type, Box anticipates your intended recipient and lists corresponding email addresses. You can select the recipient you want, or continue typing the full email address.
- When typing full email addresses, separate recipients by a horizontal space.
- Click the Invite as drop-down menu. Box displays a list of roles.
- Click the role you wish to assign to the collaborator.
- (Optional) In the Message field, type a message of up to 750 characters for the collaborator.
- Click Send.
