Faculty Summary Letters (FSL)

Each spring, faculty get a Faculty Summary Letter (FSL) that summarizes their commitments for the upcoming academic year. Faculty read their letters in FastApps. This page covers how faculty view a letter, how access works, and how Academic Affairs staff release letters.

At a glance

When this happens Salesforce does this Timing
Academic Affairs releases a letter to a faculty member Gives them FastApps access, if they don't have it Every Sunday night
Each week Updates the FSL email list in Pardot from faculty records, so faculty get the FSL messages Weekly
The year's live date arrives Makes that year's released letters viewable On the live date
A faculty member opens their letter Records the date they last viewed it Right away

For faculty: reading your letter

Go to FastApps and sign in with your NetID and password. Your three most recent letters are listed; click View All for older ones.

A letter shows, for that academic year:

  • your teaching commitment and rank
  • approved leaves and sabbaticals
  • approved teaching adjustments
  • your teaching assignments (the classes offered for you)
  • a Who to Contact section, naming who to ask about each part

If something is wrong, use the Who to Contact section. It names who handles:

  • the accuracy of rank, sabbatical, leave, teaching commitment and adjustments
  • the research amount decision
  • how summer pay is split across sources
  • the RPF rollover amount

If you can't see your letter:

  • It may not be released yet, or the year's live date may not have arrived.
  • If it was released during the week, FastApps access arrives after the next Sunday night.
  • If you also have a Salesforce account (a staff login, not just FastApps), the Salesforce team has to share your letter with your account by hand. Submit a ticket.

For Academic Affairs staff: releasing letters

A faculty member can see a letter only when both of these are true:

  1. The year's Faculty Summary Live Date has arrived.
  2. Send Faculty Summary is checked on their teaching commitment for that year.

Make the year's letters viewable

On the Academic Year record, set Faculty Summary Live Date. Letters become viewable on that date.

To hide the year's letters again, set the date in the future or clear it.

Release a letter to one faculty member

On their Teaching Commitment for that year, check Send Faculty Summary. To take the letter back, uncheck it.

Release letters to all faculty

There is no bulk switch. Check Send Faculty Summary on each teaching commitment.

What goes into a letter

A letter is built from the teaching commitment, plus:

  • Leaves: approved adjustments of type Sabbatical or Leave
  • Adjustments: all approved adjustments
  • Teaching assignments: classes with a Dean Decision of Offer

A class not marked Offer, or an adjustment not yet approved, doesn't appear. Fix the record, and the letter shows the change the next time it's opened.

Who to Contact

  • The teaching assignments contact is the area coordinator for the faculty member's primary academic area.
  • The other contacts are set on the FastApps page itself.

To change either, submit a ticket to the Salesforce team.

Seeing who has read their letter

Opening a letter fills in Faculty Last Viewed on the teaching commitment. A report on that field shows who hasn't opened theirs yet.
