Requesting Nolan Alumni Directory Access for Staff

Who this is for / when to use it

Use this if you are a staff member — typically in Alumni Affairs and Development (AA&D) or Career Services — and you need to request Nolan Alumni Directory access for an employee (for example, a new hire) or for yourself.

If instead you are an alum who cannot get in, or you are helping one, that is an eligibility question — see the companion article, Nolan Alumni Directory: Access Denied or Cannot Log In.

Before you start

  • Which access level the employee needs. There are two:
    • Administrative access lets a user manage members' visibility settings — such as whether a member's home address, work address, email, and phone are shown. Administrative access is generally requested by AA&D staff, though this is not a hard rule.
    • User (view-only) access lets a user view member information but not change visibility settings. Career Services staff typically receive view-only access, which supports advising students.

If you are not sure which level an employee needs, ask for the lowest level that lets them do their work, and note their role in the request so JCB IT can confirm.

  • Approval, before you submit. Access to the Nolan Alumni Directory must be approved by Jackie Doyle, Executive Director of Career Development for the SC Johnson College of Business, before it can be granted. The smoothest path is to obtain that approval before you submit, and include the approval email as part of your ticket. When the approval is already in hand, JCB IT has everything needed to grant access right away. If approval is not included, JCB IT cannot proceed until that approval is obtained, which will delay the request.

Steps

  1. Submit a request to JCB IT through the JCB IT portal at ithelp.business.cornell.edu, under IT Support. Include:
    • The employee's name and role.
    • The access level requested — administrative or user (view-only).
    • The required approval — ideally the approval email, attached or forwarded with the request.
  2. JCB IT confirms the request includes approval and the access level. If approval is included, access is granted for the level requested; if it is missing, JCB IT obtains it before proceeding.
  3. Watch for the completion notice. The requester receives an email notification when the request is complete.

Common problems / if that didn't work

  • You are not sure which access level to ask for — administrative access can change members' visibility settings (what contact details are shown); view-only access can see member information but not change those settings. Ask for the lowest level that lets the employee do their work and note their role.
  • You need administrative access for Career Services — access level is based on the role and the approval. Career Services staff usually receive view-only access to advise students, but the level is confirmed as part of the request and approval.
  • You would rather submit without waiting for approval — approval is required either way. Including it up front lets JCB IT grant access without delay; leaving it out means the request waits until approval is obtained.
  • The request needs more than the standard approval — if the person requesting access is not part of the approved group, or is not responsible for an approved program that can access the directory, further approval may be required.
  • The employee has administrative access but is not sure how to use the admin functions — for administrative access, a short Zoom walkthrough of the admin functions can be provided on request; the functions are largely self-explanatory.
  • The employee is a Hotelie (a Nolan School of Hotel Administration graduate) who cannot get into the directory themselves — that is an eligibility question, not a staff access request. See the companion article, Nolan Alumni Directory: Access Denied or Cannot Log In.

Still stuck?

If you have questions about a request, contact JCB IT (the Cornell SC Johnson College of Business Helpdesk) with the employee's name and role and the access level you need.
