Overview
This guide covers creating a second Microsoft Outlook profile on a Windows PC for mail merge tasks. The main profile and mailbox settings stay unchanged, and the alternative profile can be used for a different email identity or for separating bulk mailings.
Prerequisites
- A Windows PC with Microsoft Outlook installed (version not recorded).
- The email address to add to the new profile, and the credentials for that account.
- Outlook closed before starting.
- Permission to open Control Panel on the device.
Steps
Click the Windows search bar.
Type Control Panel and select it.
In Control Panel, click Small icons in the View by menu.

Select Large icons.

Click Mail (Microsoft Outlook).

Click Show Profiles....

Select Prompt for a profile to be used. Outlook then asks which profile to open at each start, so the mail merge profile can be chosen when needed.

Click Add....

Enter a name for the new profile and click OK.

Enter the email address for the account.

Clear the Your Name field so that it is blank.

Click Next.

In the Sign-in dialog box, enter the email address and password.
Click Sign in.
Verification
- Close Control Panel and start Outlook.
- Confirm that the Choose Profile prompt appears and lists the new profile by name.
- Select the new profile and click OK.
- Confirm Outlook opens and the account signs in without errors.
- Start a mail merge from Word and confirm the new profile is used for sending.
